Graphs & visualizations

Turn the columns of a report into bar, line, scatter, pie and snapshot charts, then place them on any dashboard.

All documentation pages

Graphs are built inside reports, from the columns of a sheet. Once saved, a graph can be placed on any dashboard.

Viewing only

As a Viewer you can open, download, print and favorite the reports your team has published. Creating and editing reports needs an Editor or Administrator.

Adding a graph

Add a graph to a sheet

  1. Open the report and select Edit report.
  2. On a sheet with columns of data, select + Show graph.
  3. Choose a chart type at the top (below).
  4. The x-axis follows the sheet type — on a Date sheet it is the date. The left axis starts with the sheet's first column.
  5. Drag columns from Available columns at the bottom onto the axis to change what is plotted.
  6. Select Submit, then Save.

Chart types

TypeUse it for
BarComparing values side by side. Drag a column to the right axis to overlay it as a line, or toggle on a three-month average line.
LineTrends over time. Put a column with a different scale on the right axis.
ScatterMany data points, to see where they cluster.
PieShares of a whole. Works best on a Property sheet with group totals, or a Date sheet showing a single period.
Snapshot · NumberOne key metric, displayed large.
Snapshot · CompareA headline value with a comparison beside it — often a period-on-period variance.
Snapshot · GoalA value against its target, with the variance between them.

Editing or deleting a graph

Open the report, select Edit report, then Edit graph to change the type or the columns plotted, or Delete graph to remove it. Select Save either way.

Putting a graph on a dashboard

Only the first sheet's graph can go on a dashboard

When you add a graph card to a dashboard, the platform offers the graph on the report's first sheet. If the graph you want is on a later sheet, move that sheet to the front of the report first.

Add the graph card

  1. Save the report with the graph on its first sheet.
  2. Open the dashboard and select Edit dashboard.
  3. Select + Add card and Choose a graph from a report.
  4. Pick the report, give the card a title, select Add, then Save.

Step-by-step guides

Each guide below walks through one task on screen, one step at a time. Select a step in the guide to move through it, or use the arrows. The questions under each guide answer what people most often ask about that task.

Create graphs

Using the platform / Graphs & visualizations / Create graphs

Add a graph

Turn a sheet's columns into a chart inside a report.

Common questions

How do I add a graph to a report?

Open the report, select Edit report, then + Show graph on a sheet with data. Choose a chart type, drag columns onto the axes, select Submit, then Save.

What's on the x-axis?

It follows the sheet type. On a Date sheet, it's the date.

How do I change what's plotted?

Drag columns from Available columns at the bottom onto the axis.

Can I put this graph on a dashboard?

Yes, if it's on the report's first sheet.

Example use cases

  • An asset manager charts occupancy over the last twelve months.
  • An analyst compares rent across properties in a bar chart.

Chart types

Using the platform / Graphs & visualizations / Chart types

Create a bar chart

Compare values side by side, with an optional line overlay.

Common questions

When should I use a bar chart?

To compare values side by side, such as occupancy by property.

Can I show a line over the bars?

Yes. Drag a column to the right axis to overlay it as a line, or turn on a three-month average line.

How do I change the bars?

Drag different columns from Available columns onto the axis.

Example use cases

  • An asset manager compares occupancy by property.
  • A leasing team shows leases by month with a three-month average.

Using the platform / Graphs & visualizations / Chart types

Create a line chart

Show trends over time, with a second scale on the right axis.

Common questions

When should I use a line chart?

For trends over time, usually on a Date sheet.

Can I plot two metrics with different scales?

Yes. Put the second column on the right axis.

Can I put a line chart on a dashboard?

Yes. Keep the graph on the report's first sheet, then add it to the dashboard as a graph card.

Example use cases

  • An asset manager charts twelve months of average rent.
  • An analyst plots occupancy and rent together on two axes.

Using the platform / Graphs & visualizations / Chart types

Create a pie chart

Show shares of a whole.

Common questions

When should I use a pie chart?

For shares of a whole, such as units by management company.

Which sheet works best?

A Property sheet with group totals, or a Date sheet showing a single period.

Why does my pie chart look wrong?

A pie needs a single period. A Date sheet showing many periods doesn't fit it.

Example use cases

  • An asset manager shows units by management company.
  • An analyst shows the share of units by bedroom count.

Using the platform / Graphs & visualizations / Chart types

Create a scatter chart

Plot many data points to see where they cluster.

Common questions

When should I use a scatter chart?

To see where many data points cluster, such as rent against occupancy across properties.

How do I choose the axes?

Drag columns from Available columns onto the axes.

Which sheet works best?

A Property sheet, so each property becomes one point.

Example use cases

  • An analyst looks for properties with high rent and low occupancy.
  • An asset manager compares property age with turnover.

Using the platform / Graphs & visualizations / Chart types

Create a number chart

Show one key metric, large.

Common questions

What is a number chart?

A Snapshot · Number graph: one key metric, displayed large.

Where is it useful?

On dashboards, as a headline figure such as current occupancy.

How do I put it on a dashboard?

Keep the graph on the report's first sheet, then add it to the dashboard as a graph card.

Example use cases

  • An asset manager puts portfolio occupancy at the top of a dashboard.
  • A regional manager shows total units under management.

Using the platform / Graphs & visualizations / Chart types

Create a comparison chart

Show a headline value with a comparison beside it, often a period-on-period variance.

Common questions

What is a comparison chart?

A Snapshot · Compare graph: a headline value with a comparison beside it, often a period-on-period variance.

How do I set up the comparison?

Add the comparison with the column's Versus settings, then choose Snapshot · Compare.

Can I compare against budget instead of a prior period?

Yes. Versus can compare against a second metric, such as budget against actual.

Example use cases

  • An asset manager shows NOI against the same month last year.
  • A regional manager shows occupancy against the prior month.

Using the platform / Graphs & visualizations / Chart types

Create a goal chart

Show a value against its target, with the variance between them.

Common questions

What is a goal chart?

A Snapshot · Goal graph: a value against its target, with the variance between them.

Where do goals come from?

Administrators set them in Admin → Manage goals.

Can I use a goal as a report column?

Yes, when the goal is defined as a derived insight.

Example use cases

  • An asset manager tracks occupancy against a 95% target.
  • A regional manager tracks renewal rates against goal.

Manage graphs

Using the platform / Graphs & visualizations / Manage graphs

Edit a graph

Change a graph's type or the columns it plots.

Common questions

How do I change a graph's type or columns?

Open the report, select Edit report, then Edit graph. Make your changes and save.

Will dashboards show the change?

Yes. Dashboard graph cards come from the report, so they update too.

Who can edit graphs?

Editors and Administrators, the roles that can edit reports.

Example use cases

  • An analyst switches a bar chart to a line chart.
  • An asset manager adds a second metric to an existing graph.

Using the platform / Graphs & visualizations / Manage graphs

Delete a graph

Remove a graph from a report.

Common questions

How do I delete a graph?

Open the report, select Edit report, then Delete graph, and save.

Does deleting a graph delete the report?

No. Only the graph goes. The sheet and its data stay.

Who can delete graphs?

Editors and Administrators, the roles that can edit reports.

Example use cases

  • An analyst removes an old chart before rebuilding it.
  • An Editor tidies a report that has an unused graph.
