Reports are the core of the platform. Every table and chart you see — including the templated dashboards on your homepage — is produced by a report. Build a report once and it can be downloaded, emailed on a schedule, placed on a dashboard, or embedded somewhere else.
As a Viewer you can open, download, print and favorite the reports your team has published. Creating and editing reports needs an Editor or Administrator.
Finding a report
Open Reports from the top navigation. There are two lists:
- Library — ready-made report templates. A good starting point, and the best way to learn how reports are built.
- My Reports — your company's own reports, whoever created them.
Search by name or keyword, select a category to filter, or sort by any column header: name, modified by, created on, updated on, category. Select a report's name to open it.
Creating a report
Start from a template
- In Library or My Reports, open the three-dot menu beside a report.
- Select Copy and give the copy a new name. It appears in My Reports, ready to edit.
Start from scratch
- Select + New report at the top right of either list.
- Complete Settings first (below).
- Select + Add sheet to build the content.
- Select Save.
To change an existing report, open it and select Actions → Edit report.
Report settings
Every report is one or more sheets plus a Settings tab, which works as its cover sheet.
| Setting | What it does |
|---|---|
| Name — required | How the report appears in lists and in the card picker when adding it to a dashboard. |
| Description | Optional note for your team. |
| Categories | Optional tags. Pick existing ones or type a new one and press Enter. |
| Report as of | The date the whole report's data is current to. Defaults to yesterday. |
| Report title | The subject line when the report is emailed. Can be dynamic, with merge tags such as organization name and date. |
| File name | Optional. Sets the attachment's file name, for when a recipient's system needs a fixed name. Defaults to the report title. |
| Access restriction | Limit the report to users with a given permission. |
Sheet types
Select + Add sheet and pick a type. A report can hold several sheets; downloaded to Excel, each sheet becomes its own tab. Date and Property sheets are the most used.
| Sheet | Organizes data by |
|---|---|
| Property | Property, optionally grouped by an attribute such as management company or city, with group totals inline, in a footer, or only at the end |
| Date | Day, week, month, quarter, year or fiscal year |
| Dimension | Unit type, bedrooms, ad source, age, delinquency, lease start or end, status, move-out reason |
| Finance | An account tree — income statement, balance sheet or budget. See Financials. |
| Lease / Unit | Individual leases and units |
| Mortgage | A property's loan amortization, from mortgage details in the property table |
| Comp | Comparable properties |
| Body text (HTML) | Formatted text or HTML with live data tokens — for email cover notes and dashboard cards |
| Excel template | Your own uploaded Excel file, filled with live data through tokens |
Lease, Unit and Mortgage sheets are single-property by nature, so they don't sit well in a report built around several properties. Give them a report of their own.
Adding columns
On a Property, Date or Dimension sheet, select + Add column:
- Under Datum, pick a data category, then the specific metric.
- Set Date as of — usually the report date from Settings.
- Choose the Period, such as year to date, and whether to show its sum or average.
- Optionally add a comparison with Versus (below).
- Select Submit.
On a Finance sheet the Datum is Accrual, Cash, Budget or Pro forma, and every GL row of the account tree is included automatically.
Comparing values
The Versus section compares a value against the same metric at another time — prior week, prior month, start of year — or against a second metric, such as budget against actual.
| Comparison | Shows |
|---|---|
| Absolute change +/- | The difference as a number |
| Relative change +/- % | The difference as a percentage |
| Relative value % | One value as a percentage of the other |
Date sheet periods
Date sheets can show start of period or end of period, format by quarter, and use either fixed periods or dynamic ones — trailing, prior, to date, or future. Columns can total, average, sum or count across the periods shown.
Calculations in a report
There are three places to calculate, and each suits a different question.
| Where | What it does | Use it for | Who |
|---|---|---|---|
| A column’s summary on a date sheet | Totals, averages, sums or counts the column across the periods shown | Total move-ins for the quarter; average occupancy | Editors |
| Versus, in a column’s settings | Compares the column with the prior week, month or quarter, the start of the year, or another metric | Month-over-month change in rent | Editors |
| A derived insight | A calculation from existing insights (add, subtract, multiply, divide, delta, goal or constant), defined once in Admin → Manage insights | Revenue per unit, or any measure your team defines its own way | Administrators define it; anyone can use it as a column |
Average a rate, like occupancy, and total a count, like move-ins. To see how any column is calculated, hover over its heading.
Formatting a sheet
- Sheet name and grouping — name the tab, group rows, and change how group headings display. Property sheets can also group by time frame, property by property and by date.
- Dynamic titles that update with the report date and properties.
- Columns — select one or several and move them; rename the header; add group and subgroup headers; set the width.
- Number formatting and text styling — bold, italics, color.
Conditional formatting and exception reporting
Styling rules apply only when a condition is met: equal to, not equal to, greater than, less than, or between. Two common uses:
- Traffic lights — values below a threshold turn red, values above it turn green.
- Exception reports — show a number only when it is not zero, so the report highlights just the properties that need attention.
Filtering rows
On a property-based sheet, open a column's Filtering options to show only the properties that meet a condition — for example, properties leased below 94%, or turns taking longer than ten days. Filters support equal to, not equal to, greater than, greater than or equal to, less than, less than or equal to, and between.
Tokens in HTML sheets and Excel templates
Body text sheets and Excel templates pull live data through tokens written in double braces: {{ allUnits }} shows the total units across the selected properties.
- Start typing inside
{{{{and the platform suggests matching data points — type occupancy to see every occupancy metric. - A live preview beside the editor shows the result as you type.
- A token shows an error until it is complete and valid.
For Excel templates, put tokens in the cells where data should land, then upload the .xlsx with Choose file. The workbook fills with current data every time the report runs.
The Scorecard email
The Scorecard Weekly Email in the Library is a ready-designed HTML email showing the top and bottom performers across up to ten properties for occupancy, absorption, availability forecast, turnover, average days vacant and average days not ready. Copy it, adjust the name, categories and access restriction, and schedule it.
