Financials

GL-coded financial reports that match your source system, plus 58 standardized financial insights that make properties comparable across managers.

All documentation pages

Revolution RE brings in each property's financials from your property management or accounting system and produces GL-coded reports that match your source system line for line — with the added ability to compare against budgets and pro formas, view by month, quarter or year, and roll up across any group of properties.

Ask your administrator

Mapping financials and managing account trees happen in the Admin section of the menu, which only Administrators can reach. Editors can build financial reports; everyone can view them.

Why aggregated financials matter

Every property management system keeps its own chart of accounts. One system records repairs under 6110, another under 7020, a third under 5450, each with a different name. Added up as they arrive, those lines don’t match, and a portfolio view becomes a spreadsheet exercise.

Revolution RE maps every GL code to one line in a single account tree. Once a code is mapped, every report uses the same lines, so your financials:

  • add up across managers, systems and portfolios;
  • compare fairly, property against property and per unit;
  • sit next to budgets and pro formas in the same Finance sheet.

An Administrator sets up the mapping once, and adds new GL codes as they appear. See Mapping GL codes and Updating an account tree.

How financials arrive

SourceWhat we receiveAccount tree
YardiThe account tree directlyNew GL categories added in Yardi appear automatically
Other PMSsA 12-month financial statementBuilt by us from that statement, updated as new statements arrive
RealPageTrailing 12-month financials by emailBuilt from the emailed statements

Financials usually arrive as their own sync on the same day as your operational data, with fewer files — there is generally one set of financials for the whole portfolio. Budgets can arrive as a separate file.

Financial reports

A financial report shows your data exactly as it appears in your source system, including every GL number. To see one, add a Finance sheet to a report, or open a Library report such as the 12-month statement or budget to actual. A sheet is financial if its type reads Finance sheet and it offers a choice of account tree.

When adding columns to a Finance sheet, choose Accrual, Cash, Budget or Pro forma, and use Versus for comparisons such as budget against actual. See Reports & sheets.

Mapping GL codes to financial insights

Beyond line-by-line statements, the platform offers 58 standardized financial insights — the figures that feed the Financials dashboard and let you compare properties that code their books differently. Getting there means mapping your GL rows onto those insights, using the trailing twelve months.

Say one company books pet income across six GL lines. Mapping all six to a single Pet revenue insight makes that company comparable with a manager who uses one line.

Map financials

  1. Go to Admin → Manage integrations.
  2. Select the integration, then the dollar sign ($).
  3. Select Map totals and map each GL row to its financial insight.

Checking the mapping is right

Generate a financial report showing Net Operating Income for one property and compare it with the same figure in your PMS. If they match, the mapping is right. NOI works well for this because it has a one-to-one relationship with the GL.

Updating an account tree

When a new GL code appears that the account tree doesn't have, add it:

Add a GL code to an account tree

  1. Go to Admin → Manage integrations and select the integration.
  2. Select Account trees, then the tree in use.
  3. Select Download account tree and open the file in Excel.
  4. Add a row where the new GL code belongs. If it sits under a parent account — franchise tax under taxes and fees, say — make the row match the pattern of the other sub-category rows exactly.
  5. Save the file, select Edit account tree, and upload it.

Budgets, pro formas and other uploads

Financials that don't come through your integration — budgets, pro formas, and any other statements — are uploaded under Admin → Manage integrations as financial imports. Once uploaded they are available as the Budget and Pro forma data in Finance sheets.

When financials don't appear

  1. In Admin → Manage integrations, open your active integration and check an account tree exists. Financial reports can't populate without one.
  2. If a tree exists, open Financial accounts and check it is selected and that Net Operating Income is mapped.
  3. If no tree exists, check financials are being received at all — RealPage clients in particular should have trailing 12-month financials emailed in. They show as a smaller, separate sync on the same day as your operational data.
  4. If financials are arriving but insights are missing, recompute financials from the settings.
  5. Still stuck? Submit a ticket from Help → Support.

  1. Each system names and numbers the same accounts differently.
  2. Add them up as they arrive and the lines don’t match.
  3. Mapping sends every GL code to one line in a single account tree.
  4. Map each code once. Every report after that uses the same lines.
  5. Now every line adds up across managers and systems.
  6. One portfolio view, with no spreadsheets to rebuild.
  7. Same line, same meaning, so the properties compare fairly.
  8. Oak Terrace spends 18% more per unit on repairs than the portfolio.

Step-by-step guides

Each guide below walks through one task on screen, one step at a time. Select a step in the guide to move through it, or use the arrows. The questions under each guide answer what people most often ask about that task.

Financial reporting

Using the platform / Financials / Financial reporting

Create a financial sheet

Add a Finance sheet that shows a financial statement exactly as it appears in your source system.

Common questions

How do I build a financial statement report?

Add a Finance sheet and choose the account tree: income statement, balance sheet or budget.

Will it match my PMS?

Yes. A financial report shows your data exactly as it appears in your source system, including every GL number.

Is there a ready-made one?

Yes. The Library has a 12-month statement and a budget-to-actual report.

Why is my financial sheet empty?

Usually no account tree exists, the tree isn't selected, or financials aren't being received. See When financials don't appear.

Example use cases

  • Finance builds a trailing twelve-month income statement for each property.
  • An asset manager reviews a balance sheet across a fund.

Using the platform / Financials / Financial reporting

Build a financial sheet

Add accrual, cash, budget or pro forma columns to a Finance sheet, and compare them.

Common questions

What columns can I add?

Accrual, Cash, Budget or Pro forma. Every GL row of the account tree is included automatically.

How do I compare budget and actual?

Add an Accrual column and use Versus → Budget.

Can I view by month, quarter or year?

Yes, and financial reports can roll up across any group of properties.

Example use cases

  • Finance builds a budget variance report for the monthly close.
  • An asset manager compares actuals with the pro forma for a new acquisition.

Debt and mortgages

Using the platform / Financials / Debt and mortgages

Create a mortgage sheet

Show a property's loan amortization from the mortgage details in the property table.

Common questions

What is a mortgage sheet?

A sheet showing a property's loan amortization, from the mortgage details in the property table.

Where does the mortgage data come from?

The mortgage details in the property table, in Setup → Manage properties.

Can a mortgage sheet cover several properties?

Mortgage sheets cover one property at a time, so give them a report of their own.

Example use cases

  • An asset manager reviews the remaining balance on a property's loan.
  • Finance prepares an amortization schedule for a refinance discussion.

Using the platform / Financials / Debt and mortgages

Select mortgage data

Choose which mortgage details appear on a mortgage sheet.

Common questions

Which mortgage details can I show?

Columns from the loan's amortization, drawn from the mortgage details in the property table.

Why is my mortgage sheet empty?

The property has no mortgage details in the property table yet. Ask your Administrator to add them.

Can I show several properties' loans together?

Mortgage sheets cover one property at a time.

Example use cases

  • Finance shows principal and interest for one loan.
  • An asset manager checks a loan's maturity before a hold-sell review.
