Getting started

Revolution RE connects data from your property management system (PMS) to a unified analytics platform. Within days of installation, your team can access portfolio-wide dashboards, standardized financial reports, and scheduled data deliveries — without manually reconciling spreadsheets.

This page walks you through the three steps to go from new account to active user.

Your account and your properties are already set up. This page covers what you need on day one.

Start hereAdmin setup

Add your users, set property access, and validate financial mapping. Every step below is yours to complete.

Start hereYour first day

The account is already set up. Your job is to build the reports and dashboards your team relies on, and get them to the right people.

Start hereYour first day

Sign in, open your property, and view or download the reports your team has shared with you. Setup is already done for you.

Your first day as a Viewer

Your Administrator has already connected your data and set up your account, so there's nothing to install or configure. Most Viewers see one property or a small group of them.

  1. Sign in. Use the invitation email, or go to bi.revolutionre.com.
  2. Forgot your password? Reset it yourself with the password reset link on the sign-in page. If the reset email doesn't arrive within a few minutes, check your spam or junk folder.
  3. Open your property. Select Properties, then your property, to see its dashboards.
  4. View and download reports. Open Reports to find the reports your team has shared. Hover over a column heading to see what it means. To keep a copy, download the report from its Actions menu.
  5. Want a report by email? Viewers can't send emails. Ask an Editor or Administrator on your team to add you to a scheduled email.
  6. Get help. Open Help and ask Merlin how something works, or email support@revolutionre.com.
Missing a property?

If a property you expect isn't showing, ask your Administrator to check your property access.

For short lessons with quick checks, take the Viewer track of the Getting started class.

Your first day as an Editor

Your Administrator set up the account before inviting you. Your property management system is connected and syncs every night, your properties are loaded, and users and property access are in place. None of that is yours to do.

Your job is to work with your team to make the platform useful: build the reports and dashboards they rely on, and get them to the right people.

  1. Sign in. Use the invitation email, or go to bi.revolutionre.com. Forgot your password? Reset it yourself with the password reset link on the sign-in page, and check your spam or junk folder if the email doesn't arrive.
  2. See what's already there. Look through the templated dashboards on the homepage, the More menu, and a property's own dashboards, so you know what your team already has.
  3. Start from the Library. In Reports, copy a Library report that's close to what you need, rather than starting from nothing. The original stays intact. See Reports & sheets.
  4. Build your reports. Add sheets (property, date, financial or unit), choose columns, format them, and flag exceptions with conditional rules. Add a graph where a picture helps. See Graphs.
  5. Build dashboards. Open More → Manage dashboards → Add new dashboard, choose a layout, and add cards from your reports. See Dashboards.
  6. Get them to people. Schedule reports by email to your team or an email group. See Scheduled emails.
  7. Limit who sees what. To keep a report or dashboard to certain people, set its access restriction to a permission your Administrator has created.
Needs your Administrator

Anything in the Setup or Admin sections of the menu: adding users, changing property access, editing the property table, mapping financials, or custom insights and goals.

For Administrators

Step 1 is done once for each property management system you connect. Steps 2 and 3 are done once, when the account is first set up, before Editors and Viewers are invited. Connecting another PMS later means repeating Step 1 for that system only; the account setup isn't required again.

Step 1 — Collect data from your PMS

Someone else does this

Your Administrator or IT lead handles the PMS installation. You will know it is done when your properties appear in the platform.

Revolution RE extracts data nightly from your property management system (PMS), or your manager's PMS (the system's licensee), and normalizes it into a consistent format. The connection is installed once and runs automatically from there.

Supported systems:

  • Yardi
  • Entrata
  • RealPage (OneSite + Financial Suite)
  • ResMan
  • AppFolio (financial reports)

Go to the Integrations section and find your PMS. If you do not know which one you use, ask your Manager or System Administrator. Each guide walks you through exactly what needs configuring and what to share with the Revolution RE team.

Tip

After completing the installation steps, email support@revolutionre.com to let the team know. They will confirm when data is flowing and flag any issues.

Step 2 — Set up your account

Ask your administrator

Account setup is an Administrator task. If a property or report you expect is missing, this list is what to ask them about — Property Access is the usual cause.

Once the installation is live, an Administrator on your team can configure your company's organization at bi.revolutionre.com.

Key first tasks for Administrators:

  1. Add users and assign roles (Administrator, Editor, or Viewer). See Roles & permissions for what each role can do.
  2. Set up Property Access so each user sees the right properties. Optional — defaults to all users seeing all properties.
  3. Upload your company logo and set brand colors. Optional.
  4. Validate the mapping of financial accounts to the core financial insights.
  5. Verify properties, addresses, and financials are all loading properly.
  6. Make company-specific account modifications, such as the start of your fiscal year or reporting week.

See Admin setup for the full checklist.

Watch the walkthrough: appearance, users, permissions and integrations, with a chapter for each.

Step 3 — Start using the platform

Once data is flowing and users are set up, you are ready to get to work.

Where to go first:

  • View your portfolio — open bi.revolutionre.com and view your portfolio from the main homepage.
  • Open a portfolio dashboard — browse pre-built templates covering occupancy, rent, financials, and marketing.
  • View properties — see your properties from the All Properties view.
  • Run a report — open the Library to find pre-built reports or create your own.
  • Set up a scheduled email — send a weekly report to your team automatically.

See the User journey hub for a full walkthrough.
